Running a VA Business: What Can Keep You on Top of Everything?

Sunday, April 20th, 2008

When you’re running a VA business, you’re going to want to be sure that you stay on top of your business.

Yes, on one hand, that means that you’re going to want to ensure that you’re getting everything done for your clients and you’re making sure that you are meeting or beating deadlines. On the other hand, when you’re running a VA business, you need to be sure that you’re staying on top of running your own business: after all, that’s the thing that is going to change the most when you’re working as a virtual assistant.

When you’re running a VA business, you’ll find that you’re doing more marketing; you’ll also find that you’re doing your own taxes, you’re negotiating contracts with prospective clients and that you’re balancing life and work: you need to be sure that you’re on top of all of the different elements of your business.

Be sure that you understand that, just because you are running a VA business does not mean that you need to do everything on your own; it’s possible to connect with other virtual assistants and barter services. It’s possible too to work with someone else who specializes in one field or another.

Running a VA business means understanding your strengths and your weaknesses; staying on top of your business means focusing your attention and pushing ahead. Take the time to assess what you do well; take the time to see where you might be able to use some help. The best thing that you can do to run your VA business well is to understand running a business and to know yourself well.

You Need to Explain to Prospective Clients What Virtual Assistants Do

Saturday, April 19th, 2008

One of the most interesting things about becoming a virtual assistant and running a business of your own is that, while many of your clients will have some understanding about what virtual assistants do, they may not fully understand the process.

When you’re the virtual assistant and you are asked what you do, how will you answer?

It’s something that’s good to think about – even if you’ve been in business as a virtual assistant for a while. In part, your answer is going to be, “well, some virtual assistants. . .” because, as you know, many of us have different specialties that we bring to the field, different services that we offer to out clients.

However, what you are likely to discover is that there are some benefits when the answer is more personal. “Here’s what I do as a virtual assistant,” is far more specific than trying to sum up the whole profession for everyone in one simple statement.

Of course, the flip side of that comes into play when your business involves a number of virtual assistants who provide different services. If that’s the case, work on a general explanation and then, before getting into anything more specific, ask your prospective client what he or she is looking for. That gives you a chance to target your answer to the individual – something that is likely to help you bring in additional clients.

Running a VA Business: Setting the Right Price for Your Services

Friday, April 18th, 2008

When you are just getting started with running a VA business, one of those “must do” items at the top of your to do list is to set a price for the services that you’re going to be offering.

The challenge that a lot of people who are just starting to run a VA business is that they think they need to set a low introductory price so that they can attract more clients. Another similar, but slightly different challenge that many VAs face is that, when a potential client tells them that he or she is also looking at another VA whose rates are lower than yours; some think that they should lower their price to remain competitive.

While it can be tempting to make an effort to undercut other virtual assistants when it comes to charging for your services, avoid the temptation.

Running a virtual assistant business means not just getting paid for you work but also for paying for the electricity in your office, running your equipment, part of your internet costs and your phone bill. In order to run your business and to be successful you need to do more than just break even: setting the right price for your services can help to ensure that you are able to have the success that you deserve.

Running a VA Business: a Word About Taxes

Thursday, April 17th, 2008

While much of the United States is in a spot where taxes are the last thing they are thinking about after Tuesday’s IRS filing deadline, those who are running a VA business know that that’s just one deadline.

For those who haven’t been in business for themselves in the past – those who are still thinking about the possibility of running a VA business – that statement might be a bit of a surprise. “Wait, you mean that if I go into business for myself I have to pay taxes more than once a year” is a fairly common question for those who are still thinking their options through.

If you’ve been thinking about running a VA business, it’s the little things like this that are going to come up for you – it’s the little things like understanding the way taxes are different for businesses and the self-employed that can be figured out during VA business training and talking with those who are already in business that will help you to know that you’re doing all of the things that you need to be doing.

Business taxes are different from individual taxes. By simply making an effort to understand the process and learning about what you need to do, you’ll find that everything within your business tends to go a lot more smoothly than it otherwise might.

Become a Virtual Assistant for the Right Reasons

Wednesday, April 16th, 2008

When you search the web for information about businesses that you can start from home and “easy ways of making money” working for yourself, it seems that, more and more often, you’re going to see information about becoming a virtual assistant.

After seeing a couple of these “become a virtual assistant to make money” stories online, it got me thinking: when someone wants to become a virtual assistant, are they in it for the right reasons?

Now, that’s not to say that making money isn’t a legitimate reason to become a virtual assistant, but if it’s the only motivation that you have, it may not be the right occupation for you. It’s just to say that becoming a virtual assistant is all about making an effort to go into business for yourself and to provide services to those who are looking for them.

When you’re just going into it for the money, chances are good that becoming a virtual assistant is going to be difficult; simply put, if it’s all about making money – and you don’t love the idea of working for yourself and putting your skills to work for you and your clients – becoming a virtual assistant is likely to be a hard road.

On the other hand, if you go into it knowing what to expect and you’re willing to work for your success you’ll find that you’re far more likely to succeed.

Virtual Assistant Marketing: Who Do You Need to Reach?

Tuesday, April 15th, 2008

When you sit down and start thinking about marketing for your virtual assistant business, one of the top things that you need to be focusing on is your goal. Specifically: who are you trying to reach with you virtual assistant marketing materials?

Even when you’re doing a lot of your virtual assistant marketing online, you need to know who you are trying to reach. If you offer light bookkeeping services in addition to basic administrative services, you want to be sure that you’re marketing your business in places where you’re likely to find those who need someone to just keep tabs of their business expenses. That means that you’ll want to take the time to think of where you’d locate those people and what keywords or key phrases they would be using to search for services like the ones that you offer.

The same holds true regardless of what type of virtual assistant marketing you’re looking at doing. Launching a pay per click campaign? You’ll want to be sure that you’re using the right keywords. Focusing on creating brochures to pass out to local small businesses? Be sure that you’re giving them the message that will encourage them to act.

The reality is simple: when it comes to marketing your virtual assistant business (and marketing yourself as a virtual assistant) you’re going to want to be sure that you are able to reach those individuals who are most likely to take advantage of the services that you offer.

If you’ve been thinking about becoming a virtual assistant, chances are good that you’ve been doing a few things. First, there’s a good chance that you’ve started talking about becoming a VA with a few family members and friends and have been asked what exactly it is that a virtual assistant is. There’s a good chance that you’ve been looking into opening a business of your own because you recognize that having a virtual assistant business does mean working for yourself.

But what about all the little things? When you’ve been looking into becoming a virtual assistant chances are good that you’ve been thinking about all of the things that you’ll still need to do:

  2. learn the best way to explain what you do to clients
  3. keep the books for your business
  4. draw up a business plan
  5. determine which services that you’re going to offer

More or less, all of the little things that go along with becoming a virtual assistant can be summed up in the following way: there’s going to be some business training that will be really beneficial – and will help to ensure that when you get started as a VA, you’re heading down the right path.

Virtual Assistant Tools: What Your Blog Can Do For You

Sunday, April 13th, 2008

When it comes to marketing your VA business online, your blog is likely to be your most effective tool. When you’re able to post to your blog on a regular basis – at least every day – you’ll find that you’re able to do more than just market yourself and your business, you’ll also be able to make a connection with your prospects.

What makes a blog such a vital virtual assistant tool?

In part, when it comes to internet marketing for your VA business, you know that content is essential. With a blog, you’re able to add content to your website and to keep the information fresh.

Similarly, your blog is an effective VA tool because it lets you express your personality and your commitment to your business: one of the things that you’re going to be looking for when it comes to marketing your business is a personal connection. When your prospects are looking for a VA who can help them to write proposals, they’ll get a feel for your writing style with your blog. When they are looking to learn more about your training, if you’re writing about it in your blog, they won’t feel awkward about asking more questions.

In other words, as a virtual assistant tool – and as a marketing tool – your blog is one of the most effective ways of communicating with both current and prospective clients.

Running a VA Business: Making a Connection with Your Clients

Saturday, April 12th, 2008

When you are running a VA business, one of the most important things that you can do is to make a connection with your clients. One way that many virtual assistants ensure a good relationship with their clients includes not signing a contract right away and, instead, setting up a test run of sorts.

When you’re starting out with running a VA business, it makes sense that you want to attract clients and start growing your business quickly. However, before you start entering into a long-term relationship, it’s a good idea to see whether or not you and the client are compatible (it’s a lot like going on a date before you marry someone; it’s important to look at whether or not you get along as individuals before you try to be a couple).

By taking a test run before signing a retainer contract with your client, both of you benefit. You are able to get a feel for what the client expects. Your client will be able to determine whether or not you’re the right VA for the job. With a single project, both you and the client will be able to see whether or not the relationship will work.

Once you know whether or not you’ll be able to make a connection before you sign on a new client, you’ll be able to establish stronger relationships with the clients you do work with. And that’s something that will make running your VA business much easier in the long run.
